China employee id card manufacturers

Selecting the correct chip is critical for security and system compatibility. For basic access control, LF 125kHz (EM4200/TK4100) chips are common but offer low security. For high-security corporate environments, prioritize HF 13.56MHz (MIFARE DESFire or NTAG) chips, which support AES encryption and prevent unauthorized cloning. Always verify if your existing RFID reader infrastructure is compatible with the chip protocol (ISO 14443A or ISO 15693) before placing a bulk order.

Standard ID cards are made of PVC, which is cost-effective but prone to cracking over time. For high-durability requirements, specify PET or PETG materials, which offer superior heat resistance and structural flexibility, preventing the card from becoming brittle. Additionally, request an overlay film (lamination) to protect the printed surface from fading, moisture, and abrasion, ensuring the card remains legible for at least 3-5 years of daily use.

To enhance corporate security, consider incorporating OVDs (Optical Variable Devices) such as holographic overlays or UV fluorescent printing that is only visible under blacklight. For high-end executive cards, micro-text printing and laser engraving of employee data provide a permanent, tamper-proof solution. Ensure the supplier can provide high-resolution offset printing (300-600 DPI) to maintain sharp corporate logos and clear portrait photos.

Request the supplier to provide a UID (Unique Identifier) list in Excel format corresponding to each card. If your system requires specific data encoding (e.g., sector data for canteen payments or time attendance), provide the encoding map and encryption keys securely. It is highly recommended to order 5-10 functional samples to test against your local ERP or Access Control System before proceeding with mass production.

When sourcing from overseas, data leakage is a primary risk. Ensure the supplier signs a Non-Disclosure Agreement (NDA) regarding employee photos and personal data. For maximum security, purchase blank or pre-printed cards and perform the sensitive personalization (encoding and photo printing) in-house using a local card printer. If the supplier must print the data, use encrypted file transfer protocols rather than standard email.

ID cards containing chips may be subject to specific HS Code classifications (typically 8523.52). Ensure the supplier provides a Certificate of Origin and clearly labels the package to avoid customs delays. For shipping to the US or EU, verify compliance with RoHS and REACH standards to ensure the plastic materials are non-toxic. Using express couriers like DHL or FedEx is recommended for these high-value, low-weight items to ensure end-to-end tracking.

Focus on suppliers listed on Made-in-China.com that have Audited Supplier status. Check for ISO 9001 (Quality Management) and ISO 14001 (Environmental Management) certifications. Review their transaction history and buyer feedback specifically for 'Smart Cards' or 'RFID' products. A reliable manufacturer should offer a third-party inspection report and be willing to use Secured Trading services to protect your payment until the goods are verified.

The unit price of ID cards is highly sensitive to volume. For orders over 5,000 units, you can typically negotiate a 15-20% discount. If you have a recurring need but low immediate volume, negotiate a blanket order where you commit to a yearly volume to lock in a lower price, but receive shipments in smaller batches. Always clarify if the plate-making fee (setup fee) is waived for repeat orders.
