When sourcing from a factory, you must verify their Business License and Export Qualification. Look for the 'Verified' status or 'Source Factory' (源头工厂) badge, which indicates that the supplier has undergone third-party onsite inspections. Request a live video tour of the production line and ask for ISO 9001 or BSCI audit reports to ensure they meet international manufacturing standards.

You should define a detailed Product Specification Sheet (PSS) including material composition, tolerances, weight, and finishing requirements. For electronic goods, confirm voltage compatibility and plug types; for textiles, specify GSM (grams per square meter) and colorfastness levels. Ensure the factory provides a Golden Sample that serves as the quality benchmark for the entire production run.

Different regions have strict entry requirements. For the US market, ensure products meet FDA, FCC, or ASTM standards. For the EU, look for CE marking, RoHS, and REACH compliance. Always ask the factory to provide test reports from accredited labs (like SGS, TUV, or Intertek) rather than just internal self-declarations to avoid customs seizures.

Direct factory sourcing offers high economic feasibility for private labeling. However, you must negotiate the Minimum Order Quantity (MOQ) for customization, which is typically higher than for stock items. Calculate the Total Landed Cost, including tooling/mold fees, unit price, and packaging costs, to ensure the margin remains viable after international shipping and duties.

The primary risks include Quality Fade (where mass production quality is lower than the sample), Intellectual Property (IP) infringement, and payment fraud. To mitigate these, use secure payment methods and never transfer large sums to private bank accounts. Always utilize Trade Assurance or similar escrow services to protect your funds until the goods are shipped.

Negotiation should focus on Volume-Based Pricing and Payment Terms. Instead of just asking for a lower price, offer a projected annual purchase volume to secure a 'VIP' rate. Aim for a 30% deposit and 70% balance payment after a successful Pre-Shipment Inspection (PSI). This retains your leverage if quality issues are discovered.

Choose the right Incoterms; FOB (Free On Board) is generally recommended for B2B buyers as it gives you control over the international freight and costs. For smaller batches, DDP (Delivered Duty Paid) can simplify the process by including all taxes and duties. For reliable sourcing and logistics support, platforms like Made-in-China.com provide comprehensive directories of verified manufacturers and integrated shipping solutions.

Ensure all agreements are documented in a formal Purchase Order (PO) or Sales Contract written in both English and Chinese. Include specific clauses for defective rate allowances (usually <2%) and late delivery penalties. If a dispute arises, having a third-party inspection report is the most powerful evidence for reclaiming funds or requesting replacements.
